Job Description

Thorvin, a division of Acadian Seaplants Limited is on the hunt for our next incredible and dynamic Operations Associate based in our office in New Castle, Virginia.

Your Role:

In this role, you will be responsible for coordinating distribution, shipping and receiving of finished goods and raw material to and from the warehouse locations throughout North America and the delivery of raw material from international locations. Specifically you will:

  • Maintain inventory records, including receiving, processing and shipping
  • Reconcile inventory on a monthly basis with all contract warehouses and co-packers
  • Create and Maintain QC log on newly received materials, finished goods and stored inventory
  • Creation of CoA and inventory assignment for customer shipments
  • Interface with customs broker and freight brokers to import product
  • Coordinate production materials and raw product for production runs
  • Maintain rapport with remote warehouse staff
  • Coordinate production with forecasted sales
  • Maintain QA/QC program including FSMA compliance
  • Register and maintain product registrations and reports with regulatory agencies
  • Assist with Organic System Plan and SOP maintenance
  • QA form completion as requested by customers
  • Maintain PCQI certification
  • Maintain log of quality complaints
  • Maintain and manage OMRI and Kosher certifications
  • Maintain physical retain storage and QC database
  • Place purchase orders and track shipments to destinations
  • Coordinate supply with vendors
  • A/P – process and schedule invoices for payment
  • Respond to Customer inquiries, including phone, electronic and mail
  • Arrange shipping of product to final destinations
  • A/R including invoices to customers, statements and receivables
  • Participate in staff meeting and communicate with all Thorvin staff members
  • Thorvin office duties as needed to include physical plant maintenance

Qualifications/Competencies:

  • Excellent Computer and Organization skills – Strong attention to detail
  • Ability to manage multiple projects and work collaboratively in a team environment
  • QC, Lab or Reglatory experience an asset – focus on product quality
  • Shipping or Logistics experience – focus on Customer Service
  • Accounting Experience
  • Degree or equivalent work experience
  • Willing to work a flexible schedule, as required
  • Occasional Travel, as required
