We are seeking a proactive, organized, and engaging Office Manager to join our team. This individual will play a crucial role in supporting the smooth day-to-day operations of our Alameda office and cultivating a welcoming, inclusive culture for both in-person and remote employees.

Location: Alameda, CA (on-site position, 5 days a week)

Key Responsibilities:

Office Operations & Facilities Management

  • Oversee day-to-day office operations, including reception, office supplies, mail handling, and general upkeep
  • Manage office budget (includes food, office supplies, etc.)
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Identify opportunities for process and office management improvements, and develop and implement new systems
  • Manage facility-related needs and upkeep, working with vendors for quotes and services
  • Open and close the facility; coordinate with the landlord or property management company to address building-related issues or maintenance
  • Lead office safety and emergency preparedness efforts, including coordinating safety drills, maintaining emergency protocols, and partnering with the Safety Committee to ensure compliance with office safety regulations
  • Ensure compliance with requirements of local and state departments, including insurance and lab permit/documentation needs

Culture & Employee Engagement

  • Be a key culture steward for the company, fostering a positive and inclusive workplace environment
  • Plan and coordinate team events, such as happy hours, group lunches, and employee shoutouts
  • Lead initiatives to foster connection and enhance company culture across the organization

Administrative Support

  • Serve as the main point of contact for office-related inquiries and provide general administrative support as needed
  • Maintain physical and electronic filing systems for company documents (leases, permits, insurance, equipment records, etc.)



Procurement & Vendor Management

  • Coordinate internal and external resources, and cultivate & manage relationships with vendors
  • Lead procurement of office snacks and food, taking initiative to find cost-effective solutions and maintain proper stock levels.
  • Partner with R&D Team to ensure smooth ordering, acquiring, and paying for lab consumables and equipment

Qualifications:

  • High school diploma or equivalent required; Bachelor’s degree in Business Administration or related field preferred
  • 3-5 years of office management or administrative experience, with demonstrated ability to manage office operations effectively
  • Proficiency in office software applications, including Microsoft Office Suite (especially Excel) and GSuite
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines
  • Excellent written and verbal communication skills, with a strong ability to interact positively with employees, vendors, and visitors
  • Strong interpersonal and relationship-building skills, with a keen ability to foster inclusivity and positive interactions across teams
  • Resourceful problem-solver with the ability to address challenges promptly and efficiently
  • Comfortable working in a fast-paced and dynamic startup environment

Compensation and Benefits:
