THE GIST:

Our client, a Bay Area based SaaS startup, seeks a top-notch Executive Assistant to support their CEO. This role will expertly manage the CEO's schedule & priority list, act as an extension of the executive team, and collaborate effectively with both internal & external parties. The ideal candidate has an impressive track record of supporting C-level executives at a high-growth and fast-paced company.

THE NITTY GRITTY:

  • Expertly coordinate CEO's calendar, addressing any conflicting appointments and sending reminders
  • Develop keen sense on how to best optimize CEO's time & determine priorities
  • Arrange domestic & international travel and prepare itineraries
  • Occasionally travel with CEO to offsites (3-4 times per year)
  • Attend weekly executive meetings, take notes, and follow up on action items
  • Handle incoming & outgoing communications with confidentiality and urgency
  • Create presentations & decks, prepare deliverables, and distribute meeting materials
  • Spearhead a wide range of internal and external communications
  • Plan & execute company events, offsites, and meetings
  • Assist with other administrative functions and ad hoc projects, as needed

THE ESSENTIALS:

  • 5+ years of executive support experience
  • Experience supporting a C-level executive at a high growth company required
  • Ability to work outside normal business hours as needed
  • Ability to travel with executive on occasion (3-4 times per year)
  • Tech-savvy (specifically G Suite, Slack, & Zoom)
  • Experience working in ambiguous and fast-paced environments
  • Clear and professional communication style, both verbal & written
  • Ability to act as a excellent extension & representation of the company
  • Superb attention to detail and discretion
  • Ability to shift, adapt, and pivot when confronted with new challenges and opportunities
  • Fast-processing, solution-oriented approach to work
  • Experience working cohesively within all levels of an organization and with external stakeholders
