Job Description

Job Title: Executive Assistant

Location: San Diego, CA 92121, Onsite

Schedule: Monday – Friday. 8-hour shift during the hours of operation: 7:30am – 5:30pm with some flexibility required.

Duration: Direct Hire

Pay: $75,000 - $95,000 depending on experience

Position Summary:

The Executive Assistant to the CEO provides comprehensive administrative support. Key responsibilities include handling the CEO’s calendar, drafting and editing documents, and managing document flow. The ideal candidate will make a significant impact on the business by offering professional support to the CEO. You will work with this organization that provides funding and business growth advisory support to diverse founder led small businesses. We provide revenue-based funding and business acceleration support to service-based small businesses located outside of major capital markets such as Silicon Valley and New York City. Focused on supporting businesses led by women, people of color, and military veterans, LGBTQ+, inclusive teams and businesses located in low to moderate-income areas.

Responsibilities:

  • Outstanding level of professionalism in providing executive level support, including ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling highly sensitive matters and maintaining strict confidentiality.
  • Manage the CEO’s calendar meticulously by scheduling appointments, organizing meetings and communicating with a diverse array of internal and external contacts on behalf of the CEO.
  • Maintain confidential files, reports and records, executive-level correspondence, handle and route incoming and outgoing mail.
  • Review, proofread and format correspondence to ensure accuracy and completeness.
  • Assist in preparation and distribution of Executive and Staff meeting agendas, packets and presentations.
  • Support CEO’s thought leadership by managing and coordinating the activities that amplify the CEO’s influence in impact lending. This includes scheduling speaking engagements, drafting and editing articles and speeches, organizing participation in industry conferences and panels, conducting research and ensuring timely communication.
  • Act as a liaison and provide support to the Board of Directors, including arranging and handling all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute meeting packet materials .
  • Manage all travel and logistical arrangements for the CEO and create detailed itineraries for each business trip.
  • Responsible for creating, reconciling and submitting monthly expense reports, including the collection of all necessary backup documentation.
  • Directly answer and follow up on the CEO’s incoming emails and phone calls.
  • Event planning, including Board meetings, Investor meetings, and employee Regional meeting event support.
  • Other administrative support, as assigned.

Qualifications:

  • 5+ years of relevant experience, preferably in a legal or executive-level support role
  • Experienced with Word, Excel, PowerPoint, and Outlook, G-suite, Google Calendar and Docusign
  • Financial Institution experience is preferred
