Job Title: Meetings and Events Coordinator

Location: Washington, DC (On-site)

Contract Type: Long-Term Contract

Start Date: ASAP

Pay Rate: $26–$30/hour

About the Role

We are seeking a highly organized and proactive Meetings and Events Coordinator to support a dynamic team in the healthcare space. This is a long-term contract opportunity for someone who thrives in a fast-paced environment and has a passion for planning and executing impactful events. The ideal candidate will bring experience from the non-clinical healthcare sector , such as healthcare administration, health policy, or medical associations.

Key Responsibilities

  • Coordinate logistics for meetings, conferences, and events, including venue selection, catering, AV setup, and travel arrangements.
  • Manage event calendars and timelines to ensure seamless execution.
  • Liaise with internal stakeholders and external vendors to align on event goals and deliverables.
  • Prepare and distribute meeting materials, agendas, and post-event summaries.
  • Track budgets and expenses, ensuring cost-effective planning.
  • Provide on-site support during events to manage setup, registration, and troubleshooting.
  • Maintain records and documentation for compliance and reporting purposes.

Qualifications

  • 2+ years of experience in event coordination, preferably within non-clinical healthcare environments.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and event management tools.
  • Ability to work independently and handle multiple priorities.

Preferred Experience

  • Familiarity with healthcare associations, public health organizations, or medical education events.
  • Experience managing hybrid or virtual events.
