Job Title: Document Specialist
Location: Onsite Role in Westbrook, Maine
Day To Day Responsibilities:
Review and update documents in Word, Excel, or other systems according to approved change requests.
Implement approved change orders and ensure all documentation reflects current standards.
Gather, analyze, and report data related to document changes, workflows, or projects.
Identify and suggest process improvements to streamline document control and operational procedures.
Participate in projects or initiatives , supporting implementation and tracking progress.
Coordinate work with other teams or departments to ensure smooth workflow and communication.
Train, guide, or assist colleagues on document control processes and system usage as needed.
Maintain accurate records and document history for auditing and compliance purposes.
Ensure quality and compliance with internal standards, policies, and procedures.
Communicate effectively with internal customers and stakeholders, providing updates, clarifications, and support.
Must Have Skills:
Attention to Detail: Critical for reviewing and updating documents accurately.
Microsoft Office Proficiency: Especially Word and Excel for document management and reporting.
Process Improvement / Analytical Skills: Ability to identify inefficiencies and suggest workflow improvements.
Communication Skills: Strong verbal and written skills to coordinate with internal teams and provide updates.
Organization & Time Management: Ability to manage multiple tasks, track changes, and meet deadlines independently.
