Job Description

JOB SUMMARY

The Department Secretary/CNA establishes a positive first impression with our customers (patients, families, physicians, clinic staff, other hospital departments and staff and all external customers.) This position performs all duties required to support and coordinate functions efficiently to meet and/or exceed customer expectations. Working under the supervision of the Nurse Manager, Clinical Supervisor and Office Coordinator, the Department Secretary/CNA assists with billing, performs clerical duties, and maintains par level of patient and departmental supplies. This position will cross-train as a CNA to perform a variety of basic patient care activities in caring for the personal needs and comfort of patients within the framework of the Wyoming Nurse Practice ACT.

ESSENTIAL FUNCTIONS

  • Answers phones and takes messages according to customer service expectations, to ensure appropriate team communication
  • Performs administrative duties including reports to providers, department statistics reporting, team availability communications, and staff meeting preparation slides.
  • Provides excellent customer service, demonstrates professionalism and courteous telephone etiquette.
  • Encourages cost savings for the department and organization.
  • Completes Press Ganey report uploads, with accuracy, within expected timeframes.
  • Maintains par (or appropriate) levels of supplies (clinical and nutrition) to meet needs of the department.
  • Provides supplemental support to other office staff in the capacity of document tracking, scanning, basic trouble shooting for Lifeline, hospice memorials.
  • Must be free from governmental sanctions involving health care and/or financial practices.
  • Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.
  • Other duties as assigned. This list is non-exhaustive.
  • Assist with basic patient care and Daily activities according to patient plan of care, including ambulation, dressing, activities of daily living, and patient safety.
  • Provides service excellence utilizing AIDET.
  • Observes patients and reports unusual conditions and/or reactions to RN/LPN.

JOB QUALIFICATIONS

  • Education
    • High school graduate or GED; computer skills.
  • Certifications required
    • Must obtain CNA/HH Aide certification within 6 months of employment.
    • See Cardiopulmonary Resuscitation Certification Policy and Certifications/Education Requirements Policy. Must have current American Heart Association Heartsaver AED or American Red Cross Community CPR within 60 days of employment.
  • Experience
    • Previous clerical or medical secretary experience preferred.

Knowledge, Skills, and Abilities

  • The ability to maintain continuing education requirements and all certifications and licenses as required (e.g. ACLS, PALS, CPI, CPR)
  • Must relate well with patients, families, hospital staff, physicians, and public.
  • Ability to handle various projects simultaneously and efficiently with attention to accuracy, prioritization, and patient request.
  • Analytical, reasoning, and interpretive skills with a high level of mental concentration and memory.
  • Computer knowledge including the ability to enter material into electronic record. Ability to operate fax, computer, and copy machine to perform the duties of the position. Legible handwriting.
  • Able to comprehend technical medical terminology.

  • Essential Physical Requirements: Ability to use appropriate body mechanics in lifting, positioning and/or transferring patients. May require standing or walking for long periods of time.
  • Exposure to Hazards: OSHA CATEGORY I. TASKS THAT INVOLVE EXPOSURE TO BLOOD, BODY FLUIDS, OR TISSUES. All procedures or other job-related tasks that involve an inherent potential for mucous membrane or skin contact with blood, body fluids, or tissues, or potential for spills or splashes of them, are Category I Tasks. Use of appropriate protective measures is required for every employee engaged in Category I Tasks.
