Job Description

A local commercial real estate team is seeking a Brokerage Coordinator to support 3 brokers by managing administrative tasks, coordinating schedules, and ensuring smooth daily operations. This position requires excellent organizational skills, a high level of discretion, and the ability to handle multiple tasks in a fast-paced environment.

This is a direct hire, full-time position with a hybrid schedule.

Responsibilities:

  • Provide high-level support by managing emails, calls, calendars, scheduling meetings, property tours, and tracking deadlines in team systems
  • Prepare and organize contracts, agreements, and real estate documents
  • Assist with transaction timelines, closings, and ensure proper filing
  • Act as a secondary contact for clients and stakeholders, handle inquiries, follow-ups, and draft professional correspondence.
  • Coordinate with the marketing team create and distribute property marketing materials, manage social media, and support promotional campaigns
  • Maintain client databases and CRM systems, update transaction details, and gather research for market reports and competitive analysis
  • Liaise with title companies, legal teams, lenders, and other professionals to facilitate smooth transactions and timely document submissions
  • Oversee office organization, support special projects like events, maintain digital filing systems, and proactively solve workflow issues to support team efficiency

Qualifications & Skills:

  • Bachelor's degree
  • 2+ years of administrative experience
  • Proficient in Microsoft Office
  • Ability to create and utilize Excel spreadsheets
  • Highly professional and relational
